Riyadh conference and exhibition transport is decided by the venue, not by the vehicle. The city's two largest exhibition sites both sit outside the central hotel belt, so most events need a repeating shuttle rather than one way transfers. Group vehicles start at a published SAR 1,610 for a full day in Riyadh.

Most guides to conference transport in Saudi Arabia start with the vehicle. How many seats, what class, whether the badge on the bonnet matches the seniority of the passenger. That is the wrong first question, and it is why so many delegations arrive at a Riyadh exhibition having spent more than they needed to and still run late.

The first question is geography. Riyadh's two largest exhibition venues do not sit where the hotels sit, and that single fact reshapes the entire ground plan. Once you understand it, the vehicle choice becomes obvious and the budget becomes predictable. Miss it, and you spend the week paying for individual journeys that a single standing arrangement would have covered.

The geography problem, stated plainly

Riyadh's hotel inventory for business visitors is concentrated in a fairly narrow band. Olaya and the surrounding district, the King Abdullah Financial District, the corridor along King Fahd Road, and the Diplomatic Quarter for a certain kind of delegation. That is where your people sleep, where the client dinners happen, and where the government meetings that are not at the venue take place.

The exhibition venues are somewhere else entirely.

The Riyadh Exhibition and Convention Center at Malham sits well north of the city, out past the built up area. It is the venue built for scale, and it is where the largest events in the Kingdom now land. Nothing about it is close to Olaya. The journey is measured in tens of minutes in free flowing traffic and considerably more when twenty thousand other people are attempting it at the same hour.

Riyadh Front Exhibition and Conference Center sits north east, out towards King Khalid International Airport. It is closer to the airport than it is to the hotel belt, which is convenient on arrival day and inconvenient every other day of the event.

Both are perfectly good venues. Neither is walkable from anywhere your delegation is staying, and neither is a short hop. That is the entire argument of this guide.

Why this turns a transfer problem into a shuttle problem

A transfer is a single journey with a defined start and end. An airport pickup is a transfer. A dinner run is a transfer. Our guide to airport transfers explains that product properly.

An exhibition week is not that. An exhibition week is the same group of people making the same journey out and the same journey back, every day, for three or four consecutive days, at hours that are roughly but not exactly predictable. Add the stand build day before the doors open and the breakdown day after they close, and a three day exhibition is a five day transport commitment.

Priced as individual transfers, that is a large number of separate journeys. Priced as a standing vehicle with a driver assigned to your team for the day, it is a much smaller number, and the vehicle is available in between rather than dispatched each time.

The in between is the part people undervalue. During an exhibition, the requirement is never only the morning run and the evening run. Someone needs to go back to the hotel for the samples that did not make it into the crate. Two people need to leave at three for a meeting in the city and rejoin at five. A client wants to be collected from their own hotel and brought to your stand. None of that is plannable on Sunday and all of it happens by Wednesday.

Every figure below is from our public rate card. These are full day rates, which is the correct unit for exhibition work, and they include the chauffeur and fuel. VAT applies.

Jeddah and Dammam, full day of twelve hours

Riyadh is where the exhibition calendar is heaviest, but Jeddah hosts a growing share and Dammam serves the Eastern Province industrial audience. Published rates for those cities are higher, and here they are rather than hidden behind an enquiry.

Multi vehicle and multi day event programmes are quoted per event rather than carded, because the shape of the requirement varies more than the vehicle does. Our corporate transport service covers the standing arrangements that sit behind them.

Sizing the fleet, which is where most delegations get it wrong

The instinct is to count the delegation and divide by the seat count. Twenty two people, two Coasters, done. That is arithmetic rather than planning, and it fails on the second morning.

Three corrections make it work.

Correction one, the group never travels as a group

On paper you have twenty two people going to the same building. In practice the commercial director leaves at seven for a breakfast meeting, four of the stand team leave at eight to open up, the main body leaves at nine, and two people arrive from another city at noon. One coach carrying twenty two people at nine o'clock serves a group that does not exist.

The practical pattern is a large vehicle for the main movement plus at least one smaller vehicle for everything that does not fit the main movement. A Hyundai H1 alongside a Coaster covers more real situations than two Coasters do, at a lower published cost.

Correction two, the stand team and the delegation are different customers

The people who build and staff the stand keep venue hours, arrive early, leave late, and carry things. The senior delegation keeps meeting hours, arrives for specific appointments, and often needs to leave the venue mid afternoon for something in the city. Putting both groups on one schedule means one of them is always waiting.

Correction three, the last day is not like the others

Breakdown day generates luggage, crates, materials and a departure schedule that scatters across the airport rather than converging on it. Seats you needed on day one become boot space you need on day four. The eleven seat vans earn their place here in a way the executive sedans cannot.

What the autumn calendar actually looks like

Our event transportation service is built around exactly this pattern. Read the first two rows together, because they are the clearest illustration of the whole argument. From 31 August to 2 September, Riyadh runs Big 5 Construct at Riyadh Front and LEAP at RECC Malham simultaneously, at opposite ends of the city, both outside the hotel belt. The same hotels are sending guests in two different directions on the same mornings. Anybody who booked one way transfers for that week will discover the return leg is the expensive half.

The same pattern repeats in late October, when two very large events run on the same four days at venues a long way apart. Riyadh's premium fleet gets absorbed in weeks like that, which is an argument for committing early rather than an argument for paying more.

Booking lead time, honestly

For a normal week in Riyadh, a day or two of notice is comfortable for group vehicles. For the weeks in the table above, that is not true, and pretending otherwise helps nobody.

The constraint is not vehicles alone, it is vehicles with the right drivers assigned for consecutive full days. A driver committed to your delegation for four days is a driver not available to anybody else for four days, and in a week when three large events overlap, that commitment is what is actually scarce.

The useful rule is simple. If your event appears on a published calendar that thousands of other people are also reading, treat the transport as something to lock down when you book the stand, not when you book the flights. Getting a quote costs nothing and holds the shape of the requirement in our schedule.

The compliance question that belongs in the procurement file

Ground transport for a corporate event is a procurement decision, and it carries the same questions as any other supplier. The Transport General Authority regulates passenger transport in the Kingdom, and the professional driver card requirement applies to the regulated passenger categories including limousine work. From 27 August 2026 that requirement is in force.

The practical version of that for somebody buying event transport is short. A licensed operator carries the licensing, the driver cards, the commercial insurance, the maintenance and the replacement vehicle obligation. An informal arrangement puts most of that on the company that booked it, and usually nobody notices until something goes wrong at the least convenient hour of the week. When you genuinely do not need a shuttle

Four situations where the advice in this guide does not apply, stated plainly because a shuttle sold to the wrong buyer is a bad sale.

A delegation of one or two. Two people attending an exhibition do not need a standing vehicle. They need an airport transfer in and out, and something on call for the day itself.

A single day visit. One day at a venue with a fixed arrival and a fixed departure is a transfer requirement, not a shuttle requirement. Book it as two journeys.

An event at a venue inside the hotel belt. Conferences at central hotels and at venues near the financial district do not have the geography problem this guide describes. Walk, or book hourly chauffeur hire for the movements that are actually needed.

A team already staying near the venue. If the delegation is booked into accommodation close to the exhibition site, the fundamental journey disappears and so does most of the argument. That is a legitimate alternative strategy and it is worth checking before you spend anything on transport.

Practical points that only show up on site

A few things that make a measurable difference and never appear in a brochure.

Agree the pickup point on day zero, not day one. Large venues have several entrances and the obvious one is often closed to vehicles during show hours. Fixing a single named collection point before the event opens removes a daily conversation.

Build the return around the hall closing time, not the last session. Everybody leaves when the halls close. If your vehicle is scheduled for the exact minute the doors shut, it is queuing with every other vehicle in the car park. Fifteen minutes either side is worth more than it sounds.

Keep the same driver across the days. By day three a driver who has done the route six times knows which entrance works, where the security check slows down and how long the run actually takes at that hour. That knowledge does not transfer to a new driver each morning, which is one of the reasons a standing arrangement outperforms a dispatch pool on an event week.

Tell us about the crates. Materials, samples and stand fittings change the vehicle choice more than the passenger count does. It is an easy thing to mention and an awkward thing to discover at the kerb.

Putting a plan together

Five pieces of information produce an accurate event transport quote, and none of them requires you to know anything about vehicles.

How many people, and whether they move as one group or several. Which venue and which dates, including build and breakdown days. Which hotels, or which district if that is not settled yet. Whether anything happens away from the venue, such as client dinners or meetings in the city. And whether there is freight, samples or stand material travelling with the people.

How far is RECC Malham from the Riyadh hotel belt?

Far enough that it is a planned journey rather than a quick hop, and considerably longer during show hours when a large volume of traffic is heading the same way. RECC Malham sits north of the built up city, while most business hotels sit in Olaya, the King Abdullah Financial District and along King Fahd Road. Treat the run as a scheduled movement with a buffer, not as a taxi you hail when the session ends.

Is Riyadh Front closer to the airport or to the hotels?

Closer to King Khalid International Airport. That makes arrival day straightforward, because a delegation landing and going straight to a venue briefing has a short journey. It makes every other day of the event a longer run, because your team is travelling from the hotel district rather than from the airport.

Should I book a coach or several vans for an exhibition?

It depends on whether your group actually travels together, and most do not. A coach is efficient for one large synchronised movement, such as a delegation arriving at an opening ceremony. Vans are better for the reality of an exhibition week, where the team splits across staggered hours. Many delegations end up with one larger vehicle for the main movement and a van or SUV for everything else. How far in advance should event transport be booked?

For an ordinary week, a couple of days is comfortable. For the confirmed exhibition weeks listed in this guide, book when you book the stand. The scarce resource in a busy week is not the vehicle, it is a driver committed to your delegation for several consecutive days, and that is exactly what everybody wants at the same time.

Do your rates include the driver, fuel and waiting time?

Yes. Published full day rates include the chauffeur and fuel for a twelve hour day, and waiting between movements is what the full day product is for. Hours beyond twelve are charged at the published extra hour rate for that vehicle, which is shown in the tables above. VAT applies to all published rates.

Can you handle multiple vehicles across several days at different venues?

Yes, and that is the normal shape of an event programme rather than an exception. Multi vehicle multi day requirements are quoted per event rather than from the card, because the number of variables is too large for a published figure to be honest.
