Service Overview

A group booking holds vehicles and chauffeurs for a block of time rather than selling separate journeys. The number of vehicles is decided by your arrival window and your cycle time, not by your headcount, which is why two groups of the same size can cost very different amounts. We publish the day rate for every vehicle we run, the extra hour rate that governs time past the block, and the sizing method itself, so the number is workable before anybody quotes you. What a group booking includes:

Vehicles from 11 to 47 seats
Published day and extra hour rates
Multiple pickup points coordinated
Luggage capacity confirmed in advance
Multi day programmes as one plan
One point of contact throughout

The Right Vehicle Size

Eleven seat Hyundai H1, Toyota Hiace and Hyundai Staria vans, a 21 seat Toyota Coaster, and 34 and 47 seat coaches. Cost per seat falls steeply as the vehicle gets larger, and we say so rather than quoting the fleet you expected.

Sized on the Window

We work the vehicle count from your arrival window and the round trip cycle rather than from the headcount alone. Widening a window by an hour routinely halves the fleet and the bill on the same group.

Multiple Pickup Points

Delegates spread across several hotels, a wedding party leaving from two addresses, a morning that collects from an office and an airport. All handled inside one booking with a running order agreed the day before.

Programmes, Not Movements

Multi day conferences and delegation schedules are quoted as blocks of days with one point of contact, rather than as a list of individual transfers priced separately.

What a group booking actually is

A group booking is one or more vehicles with chauffeurs, held for a defined block of time, moving a known number of people between known points. It is not a set of separate transfers that happen to run on the same day, and pricing it as though it were is the most common reason a group budget comes back higher than it needed to be.

The useful question is never how many people are travelling. It is how many people have to arrive inside how long a window, because those two numbers together decide how many vehicles you need. Everything else follows from them.

The vehicles, by what they actually seat

Our group fleet runs from eleven seat vans to a 47 seat coach. Published Riyadh rates for a twelve hour day, with the extra hour rate that governs time past the booked block, and the cost per seat that most people never work out.

  • Hyundai H1, 11 seats: SAR 1,610 a day, SAR 140 an extra hour, about SAR 146 a seat.
  • Toyota Hiace, 11 seats: SAR 1,725 a day, SAR 165 an extra hour, about SAR 157 a seat.
  • Hyundai Staria, 11 seats: SAR 1,840 a day, SAR 175 an extra hour, about SAR 167 a seat.
  • Toyota Coaster, 21 seats: SAR 2,070 a day, SAR 185 an extra hour, about SAR 99 a seat.
  • VIP coach, 34 seats: SAR 2,990 a day, SAR 290 an extra hour, about SAR 88 a seat.
  • Luxury coach, 47 seats: SAR 2,875 a day, SAR 290 an extra hour, about SAR 61 a seat.

Read the last two lines again, because the order surprises everybody. The 47 seat coach costs less per day than the 34 seat coach, SAR 2,875 against SAR 2,990. That is not an error. The 34 seat vehicle is a VIP specification with fewer, larger seats rather than a smaller standard coach, so it is the more expensive vehicle despite carrying fewer people. Per seat the gap is wide: about SAR 61 against about SAR 88.

For smaller executive groups the Mercedes V Class at five seats and the Mercedes Sprinter at seven sit above these on a per seat basis and are chosen for the specification rather than the capacity. Their published Riyadh day rates are SAR 3,450 and SAR 4,025.

How the vehicle count is worked out

Three numbers decide it, and only one of them is the headcount.

The load factor. A vehicle does not run at its badge capacity on a real job. Allow about 85 percent once you account for luggage, seating preference and people arriving in twos and threes. That makes a 47 seat coach about 39 usable seats and a 21 seat Coaster about 17.

The cycle, not the drive time. A vehicle is unavailable for the full round trip plus loading, not for the length of one leg. A run to a venue 35 minutes out of the city is a 90 minute cycle once you add the return and about 20 minutes of loading at each end.

The window. This is the number nobody asks about and the one that costs the most. Divide the arrival window by the cycle time and you have the number of loads each vehicle can deliver. Everything else is division.

Three hundred delegates to a venue on a 90 minute cycle is eight coach loads whatever you do. Inside a two hour window each coach delivers one load, so you need eight coaches. Across three hours each coach delivers two, so you need four. Same people, same venue, same vehicles, and the difference is SAR 11,500 at our published coach rate. When a group transport budget comes back too high, widen the window before you discuss the rate.

The full arithmetic, with two worked examples you can copy for your own event, is in our guide to what a Riyadh exhibition shuttle actually costs and how the vehicle count is worked out.

Match the vehicle to the seat count, not to the picture in your head

Eighty people is the example worth remembering. Five Toyota Coasters is SAR 10,350 at our published rate. Two 47 seat coaches is SAR 5,750. Same job, same day, SAR 4,600 difference, and the larger vehicle is also the easier one to manage because there are two drivers to brief instead of five.

The instinct to break a group into several smaller vehicles is almost always the expensive instinct. It is worth doing when the group genuinely splits, when different sections leave at different times, or when the pickup points are far apart. It is not worth doing because a coach feels like too much vehicle.

Multiple pickup points and multi day programmes

Groups rarely start in one place. Delegates spread across three or four hotels, a wedding party leaves from two addresses, a site visit collects people from an office and an airport on the same morning. All of that is normal and none of it needs a separate booking. What it needs is a running order agreed the day before, because a vehicle collecting from three hotels is running three cycles rather than one and the cycle arithmetic above still applies.

Multi day programmes are quoted as blocks of days rather than as a list of movements. A three day conference with an arrival shuttle, two days of venue running and a departure shuttle is one plan with one point of contact, and it is the shape most of our event work takes.

What changes the price

Four things, in order of how much they move the number.

The window, as above, which can halve or double the fleet on identical headcount. The vehicle class, where per seat cost falls steeply as the vehicle gets larger. Time past the booked block, which is charged at the published extra hour rate for that vehicle rather than as a second day. The city, because Jeddah and Dammam carry their own published day rates and an intercity leg is quoted per route rather than absorbed into a city day.

Everything in the first three is on our published pricing page before you call, which is the point of publishing it.

Where group transport sits next to our other services

If the job is a conference, an exhibition or a delegation with a programme rather than a single movement, event transportation is the version with the coordination attached. If it is a standing arrangement for staff or visiting executives, corporate transport on account terms puts named vehicles and one invoice behind it. If the group is arriving on a flight, airport transfers covers King Khalid, King Abdulaziz and King Fahd International with the meeting arrangement agreed before landing.

Riyadh clients will find the city specific detail on our Riyadh chauffeur service page, and the full vehicle list with seat counts is on the fleet page.
