Most large events give a ground transport operator one busy weekend. The AFC Asian Cup gives Saudi Arabia thirty consecutive days, in three cities at once, with the same passengers moving on a repeating daily pattern for a month. It is, by a wide margin, the largest single block of ground transport demand in the Kingdom's confirmed calendar, and the planning for it happens now rather than in December.

What Is Confirmed, and What Is Not

The dates and the venues are confirmed. The Saudi Press Agency published the tournament dates and host venues, and the group stage draw was completed on 9 May 2026 at the At Turaif district in Diriyah. The tournament opens on 7 January 2027 and the final is on 5 February 2027. Twenty four teams compete, and the knockout phase begins in the middle of January.

What is not yet confirmed, and what nobody should be planning a fleet around, is the detailed match schedule by venue, the team base camp allocations, and which hotels each federation will contract. Those land later, and they are the things that turn a calendar into a movement plan. The honest position for any supplier in September 2026 is that the window is confirmed and the detail is not.

We make that distinction deliberately, because a confirmed tournament is not the same thing as a confirmed booking, and treating the two as one is how a number that does not exist ends up in somebody's forecast. What is real today is the window, the cities and the venues.

The Eight Stadiums, and the Three Cities

Eight venues will host matches, split across three cities. Five are in Riyadh, two in Jeddah and one in Al Khobar in the Eastern Province. Published capacities are shown below and are worth reconfirming with the organiser closer to the tournament.

The geography matters more than the seat count. King Fahd Sports City sits in the north of Riyadh, King Saud University Stadium on the western university campus, and Kingdom Arena within the Boulevard City development. These are not neighbours. A delegation staying in the Olaya hotel district and following one group through the tournament will cross the city repeatedly, at exactly the hours when everyone else is doing the same thing.

Jeddah's two venues sit on opposite sides of a long coastal city. Al Khobar adds a third region entirely, roughly a thousand kilometres from Jeddah, which means any programme following a single group is very likely to include at least one domestic flight and a ground transport handover at both ends. Why This Is a Shuttle Problem, Not a Transfer Problem

A single match is a transfer. A month is an operation. The difference shows up in the arithmetic within about four days.

Consider the repeating daily pattern for anyone attached to a team or a federation. There is a morning run from the hotel to a training ground. There is a return. There is an afternoon movement for media or federation business. On a match day there is a stadium run several hours before kick off, a long wait through the match and the post match obligations, and a late return. That is four to six vehicle movements a day, most of them with waiting time in the middle, repeated for weeks.

Booked as individual transfers, that pattern is expensive, fragile and administratively miserable. Every movement is a separate booking, a separate driver who does not know the routine, a separate invoice line, and a separate chance that a car is twenty minutes away when a schedule moves by fifteen minutes, which it will. Booked as full day hire, the same pattern is one vehicle, one chauffeur who learns the group and the route, one number agreed in advance, and waiting time that is already paid for rather than negotiated at the kerb.

This is the single most useful thing we can tell anyone planning for January. Price the day, not the journey. The published full day rate covers twelve hours, and on a tournament pattern those twelve hours are genuinely used.

The Five Groups Who Actually Need Ground Transport

The spectator is the most visible passenger and the least relevant one commercially. Five other groups do the booking, and each needs something different.

Team delegations and federation staff. The most demanding profile and the earliest to contract. Squads, technical staff, medical teams and equipment move on a fixed daily pattern with security and protocol requirements layered on top. This is multi vehicle, multi week, and it is decided months in advance.

Confederation and match officials. Smaller groups, higher protocol sensitivity, often moving between cities as assignments rotate. Reliability and discretion matter more than vehicle class.

Sponsors and their hospitality programmes. Commercially the most interesting group. A sponsor brings clients to a match, and the ground transport is part of the hospitality product rather than a cost line. Broadcast and media crews. Unglamorous, equipment heavy, and on the most punishing schedule of anyone. Early arrivals, late departures, lots of kit, and frequent changes. Vans and larger vehicles, and a chauffeur who does not mind a two in the morning finish.

Corporate travellers with nothing to do with football. Worth naming because they are the group most likely to be caught out. Riyadh, Jeddah and Dammam will be busier than normal for a month, hotel availability will be tight, and an executive flying in for ordinary business in late January should book ground transport earlier than they otherwise would.

The Vehicle Arithmetic

Group size drives the answer more than anything else. A squad with staff and equipment is not a sedan problem. The published Riyadh rates below are the full retail figures, and every one of them includes the chauffeur and fuel.

Two things in that table repay a second look. The 47 seat coach is a cheaper Riyadh day than the 34 seat VIP coach, because the VIP specification rather than the seat count sets the price, and that is our own reading of our own rate card rather than a published claim. And the six seat Fortuner is the cheapest full day on the list while carrying twice the passengers of the sedan above it, which makes it the default choice for a working group rather than a protocol movement.

Jeddah and Dammam run on their own published table. The twelve hour day starts at SAR 1,380 for the Fortuner, the Coaster is SAR 2,300, the 47 seat coach is SAR 3,220 and the 34 seat VIP coach is SAR 3,450. Movements between the three host cities, and anything crossing from the Eastern Province to the west, are quoted per route rather than from a table, because the honest number depends on timing, vehicle and whether the day includes waiting.

Why the Planning Window Is Now

Team hotels contract early. So do sponsor hospitality programmes and broadcast facilities. By the time the detailed match schedule is public and the base camps are announced, the transport scope for the largest programmes has usually already been awarded, often bundled into a wider event logistics contract rather than bought vehicle by vehicle.

That produces a counterintuitive rule. The right moment to have a conversation about January is September, and the right thing to have in that conversation is not a price list. It is a capacity sheet: how many vehicles by category, how many chauffeurs, how many of them speak English, what the insurance covers, and how fast a last minute request can be met. A buyer planning a month long operation is assessing whether you can survive thirty days, not whether you are cheap on day one.

For anyone reading this from the buying side, the useful question to ask any Saudi operator is not whether the company is licensed. Everyone answers yes. Ask whether the specific vehicle assigned to your booking carries a valid operating card, and whether the chauffeur holds a professional driver card. That is the question that separates operators, and it is worth asking in September rather than in January.

Three Mistakes Worth Avoiding

Treating the thirty days as one market. Riyadh, Jeddah and Al Khobar will each behave differently. Riyadh carries five venues and the deepest hotel stock but also the worst cross city congestion. Jeddah has two venues at opposite ends of a long coastal strip. Al Khobar is a smaller market where premium capacity is thinner in absolute terms, which means it tightens first even though it hosts fewer matches. Capacity should be held city by city, not as one national number.

Planning around kick off times. The stadium run is the easy part of a tournament day. What actually consumes vehicles is everything around it: the training ground in the morning, the media obligation in the afternoon, the sponsor movement in the early evening, and the long wait that sits between arrival at the venue and departure after the match. A plan built around the ninety minutes of football underestimates the day by several hours.

Leaving the Eastern Province leg until last. Any programme that follows a group to Al Khobar involves a domestic flight and a ground handover at both ends, roughly a thousand kilometres apart. That handover is the single most common point of failure in a multi city programme, and it is the part that benefits most from having the same operator on both sides of it.
